Privacy policy

In short: schools own the information they put into EduGate Cloud. We use it only to run the service for them, we never sell it, and we never use it for advertising.

1. Who we are

EduGate Cloud is a school management platform run by EduGate Cloud ("EduGate Cloud", "we", "us"). This policy explains how we handle personal information when schools, parents, staff and drivers use the EduGate Cloud website, the school office (web) and the EduGate Cloud Parent, Teacher and Driver apps.

2. Our role and the school's role

When a school uses EduGate Cloud, the school decides what information to collect about its students, families and staff and why. For that information the school is responsible for it (the "data controller") and EduGate Cloud processes it on the school's behalf and on its instructions.

For information we collect directly — for example when you request a demo, visit our website or contact our support team — EduGate Cloud is responsible for it.

3. Information we handle

Information schools add

  • Students: name, photo, date of birth, class and section, roll and admission numbers, attendance, homework, marks, results, fee records, transport route and welfare notes.
  • Parents and guardians: name, relationship, phone number, email, address and CNIC (stored masked where shown in the apps).
  • Staff: name, role, contact details, attendance, leave, duties and payroll information.
  • Drivers and vehicles: name, licence and vehicle details, routes and trip records.

Information our apps create

  • Account and device data: login times, app version, device type and notification tokens, used to keep accounts secure and deliver alerts.
  • Bus location: the Driver app shares the vehicle's location only while a trip is active. We do not track the location of parents' or children's phones.
  • Payments: when parents pay fees online, payment is handled by our payment partners. We receive confirmation of the payment but never store full card or bank account numbers.
  • Messages: notices, SMS and emails sent by the school through EduGate Cloud, and delivery status.

Information you give us directly

Your name, school, role, phone number and email when you book a demo, start a trial or contact us, plus basic website analytics described in our cookie policy.

4. How we use information

  • To provide EduGate Cloud to schools — attendance, fees, results, transport, messaging and every other feature the school switches on.
  • To send notifications that the school or user has asked for, such as absence alerts, fee reminders and bus updates.
  • To keep the service secure, prevent misuse and investigate problems.
  • To provide support and training when a school asks for help.
  • To improve EduGate Cloud using aggregated, de-identified usage statistics that cannot identify any child, family or school.

We do not sell personal information, show advertising in our apps, or build marketing profiles of students or parents.

5. Who we share information with

  • The school and its authorised users, according to the roles the school sets (for example, a teacher sees only their classes).
  • Service providers who help us run EduGate Cloud — cloud hosting, SMS and email delivery, push notifications and payment processing — under written agreements that require them to protect the data and use it only for our instructions. A current list is available on request.
  • Authorities, only when the law requires it, and we will tell the school unless we are legally prevented from doing so.

6. Where information is stored

EduGate Cloud data is hosted in data centres in the European Union (Helsinki, Finland). If information is transferred outside Pakistan, we make sure it remains protected to the standard described in this policy.

7. How long we keep information

We keep school data for as long as the school's subscription is active. When a school leaves, it can export its data for 90 days; after that we delete it from live systems, and it is removed from backups within a further 30 days, unless the law requires us to keep it longer. Demo and enquiry details are kept for up to 24 months unless you ask us to delete them sooner.

8. How we protect information

We use encryption in transit and at rest, role-based access, audit logs of sensitive actions, regular backups and strict access controls for our own staff. More detail is in our data protection & child safety policy.

9. Your choices and rights

Parents, students and staff can ask to see, correct or delete their information. Because the school controls this data, please contact the school first — we will help the school respond. You can also contact us directly and we will pass your request to the right school. You can turn off optional app notifications in the app settings at any time.

10. Children

EduGate Cloud holds information about children because schools add it. Children do not create their own accounts. We apply extra safeguards to children's information, described in our data protection & child safety policy.

11. Changes to this policy

If we make important changes, we will notify schools by email and in the school office at least 30 days before they take effect.
