Acceptable use policy

Last updated: 1 November 2026

In short: use EduGate Cloud to run your school and talk to your own families — respectfully, lawfully and at sensible hours.

1. Who this applies to

This policy applies to everyone who uses EduGate Cloud: school office staff, teachers, parents, drivers and anyone else the school gives access to. Schools are responsible for making sure their users follow it.

2. Messaging, SMS and email

  • Send messages only to parents, students and staff connected to your school.
  • Use EduGate Cloud for school matters — not for advertising unrelated products, political campaigns or chain messages.
  • Send non-urgent SMS between 8:00 am and 9:00 pm. Safety and emergency alerts may be sent at any time.
  • Respect opt-outs from optional messages, and never upload contact lists bought or collected elsewhere.

3. Content

Do not post or send content that:

  • is unlawful, threatening, abusive, hateful or harassing;
  • shares a child's personal information, photos or results with people who should not see them;
  • is sexually explicit or otherwise unsuitable for a school community;
  • infringes someone else's copyright or privacy.

4. Accounts and security

  • Do not share your login or let anyone else use your account.
  • Do not try to access information your role does not allow, or another school's data.
  • Tell your school office straight away if you think your account has been misused.

5. The platform

  • Do not upload viruses or harmful files, or try to disrupt, overload or test the security of EduGate Cloud without our written permission.
  • Do not copy, resell or reverse-engineer EduGate Cloud, or use automated tools to scrape data from it.

6. What happens if this policy is broken

We may remove content, pause messaging, or suspend an individual user's access to protect students, families or the platform. We will tell the school's principal or registered contact and work with them to resolve the issue. Serious or repeated breaches may lead to ending the school's agreement under our terms of service.

7. Reporting misuse

Report misuse to your school office, or to us at [email protected].
